Key Responsibilities

  • Find and book a pub or venue for your event

  • Find at least 6 speakers – 2 per night (you can have up to 3 per night)

  • Collect information to go onto the website (although this may be done by a separate web manager if you have one)
    An organisation spreadsheet can be used by coordinators and shared with you to help to collate all the information. You can upload this into Google sheets if you prefer.

  • Plan an activity for each night between talks

  • Regularly update your coordinators

  • Attend regular meetings with your coordinators 

  • Run the event for the three nights in May (14-16 May 2018)

  • Meet your coordinators for a debrief meeting after the events

​Some tips engaging with speakers

  • It is best to approach speakers by recommendation or because you know the person, not everyone is good at delivering a fun and engaging talk to a layman audience.

  • Collect information to go onto the website (although this may be done by a separate web manager if you have one. Request a talk title and a rough description of what the talk will be about (maximum 600 characters with spaces), website address and speaker twitter handles if they have them. It is usually a lot harder to get this information later on in the year, so best to get it whilst it is still fresh in their minds. It can of course be updated/changed later on and you will have to check with the speakers closer to the time if their blurb is correct. If they have a picture that they'd like to accompany the talk, make sure it's in the right file size and type.

  • If your speaker has a demo to show, make sure you have everything that is needed available (e.g. a table, a plug soccet close by, lighting, sound, any other props etc.)

  • Make sure your speaker knows where the pub is and how to get there, if needed give advice on parking and contact details (e.g. a phone number).

  • If you have managed to secure local funding, get the speakers a beer (or any other drink) in the break, and hand them a pint glass as a thank you after the talk(s).
